    Job Description

    Under the director of the Director of Education and Visitor Experience, the Visitor Service Manager oversee the managerial duties and day to day operations of the museum store and admission desk, including supervising student employees within those areas.  Additionally, the visitor services manager will be responsible for museum rentals and volunteers. This includes soliciting and managing all outside museum rentals as well as recruiting and retaining museum volunteers. This position often works beyond normal office hours and/or nights and weekends.

    Responsibilities:

    • Purchase and maintain store merchandise relative to the collection and mission of PPHM.
    •  Oversee and manage operations and personnel; Duties include Inventory control, conforming to the current UBIT laws, including spot checks, mid-year and end of year inventory, merchandise display, intake and pricing of inventory using Altru, and manage in store special events.
    • Manage, host, and implement all outside rentals for PPHM. File required paperwork with WTAMU campus for rentals.
    • Manage activities, assign and supervise the work of staff in the department.
    • Develop schedules, training, and management of store and front desk employees, maintaining accountability of employees and oversight of bi-weekly timesheets.
    •  Maintain a presentable front desk with knowledgeable personnel to help guests enjoy the PPHM and WTAMU campus.
    • Manage online sales along with PPHM Store social media sites and maintain store website.
    • Work with the PPHM marketing department to plan and execute store marketing plan.
    • Prepare sales reports on a weekly, monthly, and annual basis
    • Reconciliation of deposits to cash registers, maintain and audit cash drawers.
    • Monitor department’s budget and assists in the preparation of the annual budget and long-range planning
    • activities.
    • Act as volunteer coordinator.
    • Duties include recruiting, scheduling volunteer duties, training, maintaining a volunteer roster, and interfacing with volunteers in person and by telephone.
    • Assist in guest registration, set up and take down for special events as required and assist with managing exhibits openings and programmed events.
    • Assist in scheduling, planning, and arranging services for museum programming.
    • Other duties as assigned.

    Necessary Qualifications:

    • Bachelor’s degree or equivalent education and experience.
    • Four (4) years in administration. retail management experience/event coordinating
    • Knowledge of merchandising, inventory control, excellent verbal and written communication.
    • Ability to meet deadlines and work independently.
    • Excellent organization, interpersonal and communication skills; must work well in a team environment, with University students, and with the general public.

    Preferred Qualifications:

    • Master’s degree or equivalent education and experience.
    • 5 - 7 years Museum management; retail buyer, event planning.
    • Retail operations and marketing; Blackbaud Altru, Community relations, volunteer recruitment and organization.
